Seiko Optical South Africa Privacy Policy

SEIKO LENS MILES PROGRAMME TERMS & CONDITIONS

1. Eligibility & Registration

1.1 Participation in the Seiko Lens Miles Programme – Participation in the Seiko Lens Miles Programme (“Lens Miles”) requires completion of the Seiko Lens Miles Agreement and registration on the Lens Miles platform.

1.2 Approval of Participation – Participation is subject to approval by Seiko Optical South Africa and may be withdrawn at Seiko’s discretion.

1.3 Confidentiality – Programme details, reward structures and associated materials are confidential and intended solely for participating Practices.

1.4 Programme Changes – Seiko Optical South Africa reserves the right to amend, suspend, replace or terminate the programme, in whole or in part, at any time.

2. Account Standing

2.1 Good Standing Requirement – Participants must maintain their account in good standing at all times.

2.2 Payment Compliance – Good standing requires all invoices to be settled in full within agreed payment terms.

2.3 Suspension of Benefits – Accounts in arrears may have reward accrual and redemption privileges suspended until the account has been brought up to date.

3. Minimum Spend Requirement

3.1 Minimum Monthly Spend – A minimum monthly net spend of R20,000 (excluding VAT) on the Practice’s RX account is required to participate in the programme.

3.2 Rolling Assessment – The minimum spend requirement is assessed on a rolling six-month average.

3.3 Non-Qualifying Periods – Months where the minimum spend requirement is not achieved will not qualify for rewards during that period.

3.4 Eligible Purchases – Only purchases made through the Practice’s RX account qualify. Frame purchases, equipment purchases and other non-lens transactions are excluded unless otherwise specified by Seiko Optical South Africa.

4. Growth Reward

4.1 Growth Calculation – Growth Rewards are calculated on verified year-on-year net sales growth compared to the corresponding period in the previous year.

4.2 Net Sales Basis – All calculations are based on net invoiced sales excluding VAT, returns, credits, cancellations, trade discounts and Xtranet discounts.

4.3 Reward Tiers – Reward percentages are determined according to the Practice’s qualifying monthly spend tier as published by Seiko Optical South Africa.

4.4 Assessment Period – Growth Rewards are assessed quarterly.

4.5 Negative Growth – Negative or zero growth does not qualify for Growth Rewards.

4.6 New Practices – New Practices joining the programme will use their first full year of trading as the baseline for future Growth Reward calculations.

5. ARC Booster Reward

5.1 Qualification Criteria – ARC Booster Rewards are earned when ARC products exceed 70% of total eligible lens orders during a quarter.

5.2 ARC Mix Calculation – ARC Mix Percentage is calculated as:

(Total ARC Lens Sales Quantity ÷ Total Eligible Lens Sales Quantity) × 100

5.3 Increased Reward Levels – Higher ARC Mix percentages may qualify for increased reward levels as published by Seiko Optical South Africa.

5.4 Assessment Period – ARC performance is measured quarterly.

5.5 Independent Measurement – Each quarter is assessed independently and performance does not carry forward.

6. Remote Edge Reward

6.1 Eligible Orders – Remote Edge Rewards apply to qualifying lens orders placed through Seiko Xtranet and edged in-store.

6.2 Exclusions – Frames sent to the laboratory for mounting do not qualify.

6.3 Order Requirements – Email orders, telephone orders, fax orders, complete laboratory jobs or any non-Xtranet orders do not qualify.

6.4 Qualification Threshold – The Remote Edge threshold must exceed 70% of eligible lens orders during the qualifying period.

6.5 Assessment Period – Remote Edge performance is measured quarterly.

6.6 Independent Measurement – Each quarter is assessed independently and performance does not carry forward.

7. Reward Crediting

7.1 Quarterly Crediting – All qualifying rewards are calculated quarterly and credited to the Practice’s Lens Miles Wallet.

7.2 Crediting Timeline – Rewards are typically credited within 30 days following the end of each quarter, subject to verification.

7.3 Verification – All rewards are based on verified net sales data.

7.4 Adjustments – Seiko Optical South Africa reserves the right to adjust, reverse or remove rewards credited in error.

8. Lens Miles Wallet

8.1 Wallet Allocation – Lens Miles earned through the programme will be credited to the Practice’s Lens Miles Wallet.

8.2 Eligible Redemptions – Lens Miles may be redeemed for approved business-building initiatives, Seiko equipment, digital tools, marketing support, training resources, practice development initiatives and other qualifying items approved by Seiko Optical South Africa.

8.3 Examples of Eligible Redemptions – Eligible redemptions may include, but are not limited to:

  • Practice signage and branding
  • Point-of-sale materials
  • Store displays and merchandising
  • Seiko Vision Xperience Centre equipment
  • Dispensing and consulting tools
  • Digital marketing campaigns
  • Social media marketing
  • Direct marketing initiatives
  • Website development and digital assets
  • Training and educational resources
  • Practice growth programmes
  • Approved Seiko equipment and technology solutions

8.4 RX Account Credits – Lens Miles may also be redeemed as a credit against the Practice’s RX account, subject to the redemption rules and minimum redemption values published by Seiko Optical South Africa. Lens Miles redeemed against an RX account may only be applied to future invoices and may not be used to settle overdue balances.

8.5 Redemption Requests – The Practice may submit supplier quotations, invoices or redemption requests directly to Seiko Optical South Africa for approval.

8.6 Approval of Redemptions – All redemptions are subject to available Lens Miles balances and final approval by Seiko Optical South Africa.

9. Third-Party Suppliers

9.1 Prior Approval – Any goods or services funded through Lens Miles that involve third-party suppliers must receive prior written approval from Seiko Optical South Africa.

9.2 Approval Criteria – Approval will be granted at Seiko’s discretion based on quality standards, brand alignment, commercial suitability and programme objectives.

9.3 Unapproved Suppliers – No reimbursement claims will be honoured for purchases made through unapproved suppliers.

10. Expiry

10.1 Expiry Period – Lens Miles not redeemed within 24 months of being credited will expire and be forfeited.

10.2 Member Responsibility – The Practice remains responsible for monitoring available balances and expiry dates.

11. Non-Transferability

11.1 Non-Transferable Rewards – Lens Miles are non-transferable and may not be sold, assigned, exchanged or redeemed for cash.

11.2 No Cash Value – Lens Miles have no cash value.

12. Verification & Audit

12.1 Audit Rights – Seiko Optical South Africa reserves the right to audit sales data, programme participation and redemption claims at any time.

12.2 Corrections – Rewards credited as a result of inaccurate information, system error or misuse may be reversed.

12.3 Misuse of Programme – Any misuse of the programme may result in suspension or termination of participation.

13. Programme Changes

13.1 Right to Amend – Seiko Optical South Africa reserves the right to amend reward structures, qualification criteria, redemption options, thresholds, suppliers or programme benefits at any time.

13.2 Annual Review – The Lens Miles Programme applies to the current programme cycle and may be reviewed annually.

14. Governing Law

14.1 Applicable Law – These Terms and Conditions are governed by the laws of the Republic of South Africa.

14.2 Jurisdiction – Any dispute arising from participation in the programme shall be subject to the jurisdiction of the South African courts.

15. Acceptance

15.1 Acceptance of Terms – Participation in the Seiko Lens Miles Programme constitutes acceptance of these Terms and Conditions and any future amendments communicated by Seiko Optical South Africa.
